The duties of an events manager

    Event Planning and Management

    Career in Event Management

    Event planners vs. managers

Many people think of event managers as wedding or concert planners, but the area of event management includes much more than that. Visitors may not notice the work of an events manager at a well-planned event, but they would notice the lack of planning in a chaotic event.

The duties of an events manager In the most basic way, event management is the process of using business management and organizational skills to predict, plan and execute social and business events. People who specialize in event management work with budgets, schedules and vendors to create the best possible events for their customers.

Many companies use event management firms to coordinate their most important meetings and other events.

Event planners pass by many different job titles, but the main function of their work falls throughout the field of event management. When you work in event management, you will be involved in the planning, execution and evaluation of corporate events, associations, non-profit, government and social organizations.

Event management requires strong organizational, budgetary and creative skills.

Event Planning and Management An events manager will begin planning an event by meeting with the customer and gathering information about the client’s vision for the event. She and the client will develop a budget for the event and discuss the concept or the general theme.

Once the budget is set, the event manager will finalize the concept for the event, work to line up a location and vendor and obtain any necessary permits, permits and insurance.

If speakers are required for the event, the event management team will coordinate with the customer to engage them. If other add-ons are needed, such as parking and transportation, the team will also fix them.

On the day of the event, the event management team will be in place to run the event and address any problems that arise. After the event, the team will complete all remaining details and receive feedback from the customer.

Career in Event Management The job market for event managers is growing, with some estimates that the need for event managers will increase by a third in the next decade.

Most people who enter event management will need a bachelor’s degree. Experience in hospitality or tourism management is also useful. A successful events manager is a true person of people and has excellent organizational skills, interpersonal skills and skills of many tasks.

Event management teams often work closely with public relations teams and hospitality professionals at event venues. Some event management professionals often travel to treat customers in different countries, while others focus on event management in a geographical area.

Event planners vs. managers A planner’s main responsibilities include monitoring time during your events, ensuring proper placement as determined by the customer, managing the reception staff, the hotel liaison and other tasks related to the site, which are essential to the success of the event.

On the other hand, event managers are there with you every step of the way. Managers orchestrate all the details of the event, treat vendors, create and manage budgets and timelines, help with contract negotiations and manage the process of choosing the country.

Event management is supervised by all logistics leading up to and during an event, whether a conference, marriage, or n

The management of the event involves overseeing all logistics leading up to and during an event, whether it is a conference, marriage, or any organized rally. Event managers execute event plans by managing staff, finances, vendor relations and more.

In the event planning profession, job titles are as different and numerous as the services offered, and it can often be difficult to differentiate between one another. It can be challenging when preparing an event planning portfolio, looking for work or working with a client that doesn’t make accurate sense of your job function and responsibilities. Learn more about what event management involves and whether it’s the right one for you.

What is Event Management? Event management includes a variety of functions for executing large-scale events, which can include conferences, conventions, concerts, trade shows, festivals and ceremonies. It includes handling the overall logistics of the event, working with staff and conducting project management of the event as a whole.

Additional tasks can include budget management and teams of people responsible for each function, as well as overseeing the execution of the event. Event managers also oversee the services of all retailers and outside professionals, including event planners.

How Event Management Works The specific responsibilities of an events manager may include:

    Selection and booking of places

    Coordination of external vendors

    Engagement of speakers or fun

    Organization for transport and parking

Obtaining necessary permits and proper insurance

Compatibility with health and safety standards

    Developing emergency plans

    Crisis management and event situation

    Drafting a security plan

    Event monitoring

This list is not depleting at all. Depending on the scope of the event and other employed professionals, work responsibilities may vary. Essentially, the event manager is responsible for coordinating all the logistics necessary for an event.

Role of Event Management Services Event management firms are often hired to plan and execute large-scale enterprise meetings and special events. While weddings and concerts are common events for an event management professional, sports events, reunions and major events are also occasions that can benefit from event management.

Government subjects, non-profit organizations, associations and corporations use all event management companies to coordinate important events and meetings. The function of event management can often be found within a corporate marketing department or public relations or as part of the staff of their particular events.

Skills to succeed As with most event planning functions, event management requires excellent organizational skills to succeed. The ability to do many tasks and deceive many parts in motion is essential and, together with that high-level organization, comes the need for efficient time management skills.

Being able to prioritize and stay in office is what leads to a successful event. Event management seeks to see the vision for the event until execution, which requires persistence, creativity and flexibility.

Since project management is a key element and includes management not only of functions, but of people’s teams, interpersonal skills are also important. Interacting with individuals at all levels of an organization is part of the job, so being calm, soulful and a strong communicator will go a long way in developing these relationships.

Event Management vs. Event Planning While very closely linked, event management and event planning serve two different functions. In direct terms, event planners create the vision and many of the preliminary plans for an event, while managers execute the details before and during it.

As stated, event managers can plan aspects of events, and event planners can manage some components of the event planning process. Both work side by side and their responsibilities may overlap. Many individuals can fulfil both roles, especially if they run their business or work at a small event planning company. Still, the training and skills needed for each position are somewhat distinct.

Main tickets Event management is the supervision of many administrative details for events such as conferences, festivals or weddings. An events manager works with staff and vendors to make sure the event is executed on schedule. As event planners try to work on the overall concept of the event, event managers deal with the details of its execution. Event managers must be organized, able with people and flexible, among other things.

We have heard many times, but we have never thought about what a corporation is, what the meaning of this word is. But have we each had such an event at least once in our lives?

Why corporate parties? Types of corporate events

What is corporate culture? What is important in corporate culture? We have heard many times, but we have never thought about what a corporation is, what the meaning of this word is. But have we each had such an event at least once in our lives? Corporate is a collective event in the company, not directly related to its core business, with the direct participation of all employees.

WHY CORPORATE PARTIES? The management of any company is interested in holding mass corporate events. The main purpose of such events is to build a team, and as a result, to increase the effective activity of all employees in the organization. In fact, a corporate party is a time of relaxation among partners, but it can also bring some benefits not only to the whole team but to everyone.

The purpose of the corporate party The main goal of any corporate party is to strengthen the team, increase the level of communication and make the company feel significant for the employees. In order not to want to leave the first minute of the event, it is better to entrust all the preparation to specialists. If the company’s trusted employees deal with this issue, their task is to anticipate all the possible nuances, take into account the interests of the employees, create a certain atmosphere, otherwise the corporate party can end without even starting.

Work. Such corporate parties existed during the Soviet years. Government officials, schoolchildren and students were sent to social work. As a rule, they are collective farms and gardens. After very productive working communication, picnics, gatherings around the fire, songs were sung, and honest conversations were held.

Sport Competition Any competition or contest in which both participants and fans can participate. This makes the task especially easy when some people do not want to participate directly in sports, then they form a good support group. Activities can be very different, from football to checkers. And when the corporate party is over, the photos will be a great reminder of the time spent. It is possible to predict what employees are most interested in, to take these desires into account when choosing a sport.

Awards. One of my favorite prizes and gifts. The organizers have to be smart to pull the whole team with the distribution of bonuses. Ideas can range from the usual (best employee of the month) to the original (best joke). Such a corporate is a great opportunity to show employees that they are valued not only for good work.

Celebration. An official country vacation can be a good reason to have a corporate party. Everyone loves and knows how to walk. But in order not to end such a holiday with a headache, it is reasonable to start it with an entertainment program in the form of a musical or theater tour, just to end it with a music disco. And, of course, what is a corporate party without a wide range of snacks?

Trainings և Workshops: The optimal work of the team largely depends on the relationship between the employees, the work process, their personal point of view about the whole company. Training and personal growth help employees overcome the psychological barrier, teach them how to communicate with each other, managers, clients, help them get used to the already established team.

Anniversary. This is a holiday for both the founders of the company and its direct employees. During the ceremony, you should definitely count the time spent, congratulate everyone who has made a lot of investments in the development of the business, the one who has no other, have a little dream, organize a great corporate party. Practice shows that nothing brings partners to a noisy and happy party. All costs incurred by the organizers will be more than offset by the hard work of the rest of the staff.

Picnics. Another opportunity to relax the body and soul. It can be a relaxing getaway, a pleasant boat trip or a short cruise to local attractions. You can start with the official part, because what is a corporate party without the director’s words, a look to the future? Well, then, as your heart desires, from gathering around fire to sports.

Team building. In a sense, such corporate parties are reminiscent of the Soviet workforce. Teambuilding means building a team through mutual help. During physical work և exercises, employees learn to trust each other, are not afraid to ask for help են offer their services more resolutely. Teamwork makes a company a friendly family.

Presentations. A corporate event held to advertise, advertise a new product or attract customers. The direct participation of employees helps them to better understand the overall policy of the organization, to feel part of big business, to be aware of all the new ideas and achievements.

WHAT IS CORPORATE CULTURE? We understand what a corporate is, but what is a corporate culture? Communicating at work or on vacation is a culture. Question Any question including bonuses և rewards is also a cultural issue. For joint actions to bring moral and physical satisfaction, there must be a basis for them. In fact, corporate culture is a set of rules and concepts that team members must follow in their work and in any other communication.

To this end, the company’s management, together with the team, develops a number of important issues, the observance of which increases the cohesion, improves the work process, promotes the moral satisfaction of each participant in the joint production.

    Horse style.

    Business ethics.

    Personnel policy.

    Organization rituals.

    Climate in the company.

Solving these challenges helps to differentiate the whole company from a number of similar ones և to increase the sense of unity among all members of the organization.

In general, the word “corporate” means not only a great entertainment event at the expense of the company, but also an important part of the company’s culture. Holding these parties often determines the efficiency and spirit of the team. So be careful, plan the event carefully in advance, because when the corporation is over, the photos and impressions will remain.

Maybe you've been wondering if an event strategy is now also necessary. "Isn't this just the kind of thing that some slightly over-expensive consultants are deluding you that you need?" To that I would say: Expensive or not – it can be even more expensive for you if you do not have the event strategy in place.

In this context, events should be understood as any planned event (meeting, conference, trade show, etc.) held either online or offline. Events have some external stakeholders involved and may, for example, be centered around sales, branding, knowledge sharing, alliance creation, etc.m.

Let's get in the helicopter and take a look at the event strategy from above. It is important as it is an internal benchmark for working with your events. At the same time, it must ensure that the investment in events provides value.

    Events are "big business"!

There is no doubt that events are an important contributor to Danish society.

According to VisitDenmark's latest statement (from 2017), the meeting market generated a total turnover of DKK 26 billion per year. This inventory even contained only those meetings over 4 hours long involving a minimum of 10 people and held outside the company's own premises. This means that the statement contained only a fraction of the actual market, as VisitDenmark has only calculated the costs associated with the event itself.

Because how much money do you actually spend on meetings, conferences and events?

For you as organisers, the resources you spend planning the event are a cost to the event. Not least the time you are away from the office in progress and the time you do not solve any other tasks.

In other words, it costs to hold events, so the events we hold must provide return on investment.

Are your events related to your business strategy?

To ensure this return on investment, we must first look at the overall business strategy.

Events are a form of communication and part of your branding as a company. This means that everything you do and say with your events points back to your organization!

You must therefore ensure consistency between your events and your brand and ask yourself the questions:

"What do we get from holding this event?"

"How does the event relate to our organization's strategy?"

If there is no clear correlation between the outcome of the event and the overall business strategy, the event should not be held! But it's not even enough that your events are linked to the overall business strategy. They must also be interconnected. And this is where the event strategy comes in.

The event strategy is not a strategy for the individual event, but for all your events. It is therefore a collection of future perspectives for what you want to achieve with your events and how they relate to your overall business strategy.

Are you in control of your event portfolio?

And in doing so, we come to focus on the value of thinking more than one event at a time.

Because even if an event is a one-off event, it must be planned according to a purpose that supports your overall business strategy. As mentioned earlier, the purpose could be sales, branding, knowledge sharing, the creation of alliances, etc.,

I'm sure you need to hold events for several of the purposes mentioned. Gradually, you build a portfolio of events, and when you put the event portfolio into system, it makes it easier for you to keep an overview and ensure consistency with your overall business strategy.

The event portfolio helps to distribute your events in relation to (e.g.):

Resources - distribution of events in relation to employees and cash flow

Calendar - distribution of events over the year, dispersion compared to other companies' corresponding events

Målgruppe - allocation of time point in relation to the target group

Purpose - overview of whether all the purposes (with your events) you work with are covered

Get an overview and create synergies

The event portfolio provides an overview and helps you ensure that you take advantage of synergies and learning from one event to another: you get a collection on ...

outcome of the event and the evaluation to assess return on investment.

the results of the evaluation to assess how the event moved, affected or even damaged your brand.

benefit from the learning from the event: What did you as a company and employees get out of the event, what did you learn internally.

whether you have created or are going to develop some partnerships (both internally and externally): Are there any of these alliances that you can continue to work on and benefit from.

All these synergies will help create a long-term connection between your events, so that you end up achieving the purpose of your events, consistency to your overall business strategy and underpinning your brand.

I know it sounds violent... but what does it really take?

Do you have an event culture?

And yes, this is where your dedication is really put to the test. After all, developing and delivering on a strategy is not something that happens with a magic trick. But your strategy should lead the way to where you want to be in 5 years, so it takes effort now, even if it's a longer process.

So working with the event strategy and portfolio requires prioritising your entire event work: from curating employees' competencies and potential partnerships to analyzing the evaluations and assessing value creation.

This means that you may be able to look forward to a culture change! Because working with event strategy must become part of the company's culture. Not least in view of the resource use I mentioned at the beginning of this article and all the variety of skills that event work requires.

    Events are not left-hand work

Events are not left-hand work, so you need to allocate sufficient resources and the right skills for this. Does the PA really have time to develop this event, and does she have the skills it really requires to design it? Because as I write in this article: "Can you afford to use an event planner who is not qualified?"?

Could you imagine hiring an Event Partner to develop the event strategy as well as leading the strategy work and event portfolio (and here I am not thinking of engaging an event agency that acts as your partner, but that you hire a new employee)? I am convinced that this is the future if you as a company want to create value with your events – both for you and for your participants.

So: Are you ready to take your events and their value creation really seriously?

Corporate Gift Ideas For Event Planner

Courtesy:corporate event planner in LahorePromotional products are perhaps one of the most popular corporate gifts. It would probably come as no surprise to many to learn that the branded pen is the most trusted business gift in the corporate world. While the pen is certainly practical and useful, there are a number of other interesting or creative business and corporate gifts.

When presented products are presented as a corporate gift, it is important to keep them simple and traditional.

At the same time, becoming simple and traditional can break the mold and help you become more creative and artistic. JS Rangi, founder of Monsoon, Canada Monsoon Corporate Business Gift, has provided the following tips for event planners and those looking for truly impressive creative corporate business gifts.

Give business gifts that people will use

A tote bag, umbrella, shawl, blanket ... these are everyday items that people use regularly and generally can't get enough of. Make these everyday items beautiful and the more work you do the more you will be appreciated. A less practical item like an ornate vase may seem like a superior gift, although there is more to forgetting behind a cupboard.

Design and themes according to the content of the presentation

If you are looking for gifts for guests at a corporate event, you are looking for gift options that combine the company logo, the name of the event, and even the symbol of the main theme of the event.

The key is to get a design that is not too eager to achieve this goal. Designs with appropriate logos, drawings or symbols fit into a concept without writing it down. For example, a corporate business gift design for a law firm may have a fair dimension.

You can see a city line of the convention site.

However, the use of Brand Messages and Corporate Logos is limited

Going with a full promotional brand will depend on the corporate business gift you choose. Depending on the item, the brand may endanger the gift application. Tote bags, for example, are a great opportunity to promote future events, but the brand is not a good idea for a print that will put on people's walls.

Balance of corporate gifts with originality and taste

When it comes to creative corporate gifts, it is important to be original, but the design should also appeal to a wide audience. It's good to get something that isn't the most unusual, but it's still unique. For example, if you choose a wild art deco style inscription for a blanket, it is likely that not everyone will match the decor. You are not very safe. Stay away from too much black, brown and gray. Don't be afraid of a little color.

Hire a Specialty Digital Supply Supplier

Some promotional product suppliers are mostly focused on traditional branding techniques and will be less equipped to help you with brainstorming unique or creative corporate gift designs and ideas.

If you are hoping for a really interesting corporate gift, be sure to find a qualified and well-supplied supplier. When planning a unique gift design, look for small additions that can add values such as the artist's signature.

    Suggest different changes

For example, guests give gifts in different prints or colors to show their preferences for a particular color or design.

Corporate Gift Ideas for All Budgets

Finally, to create a creative corporate gift, your creativity is always limited by the number of hospitable guests you plan and the budget of the event. Before you start looking for a gift, make sure you know the amount needed for each type of gift and the overall budget you work with. A range of corporate and business gift ideas to suit every budget.

Low Cost Corporate Gift Ideas ($ 5)

Low cost does not mean low impact. The important thing is to think outside the box. That is, if I give a pen, be different from any presentation pen. For example, choose a pen with an unusual ergonomic design. With an artistic design appropriate to the event - think of something unusual - like a crafted cup with a beautiful painting.

    Medium Value Corporate Gift Ideas ($ 5 - $ 25)

Many companies can accept capital gifts from customers for a maximum of $ 25. At this price point, it is quite acceptable to find original and memorable creative gift ideas. Consider gifts such as umbrellas, blankets, scarves and tote bags. The design of each important item is unique and attractive. Mass shopping with a custom design is a good way to keep prices down while maintaining originality, unlike general corporate business gifts where the finished product is purchased.

    Highly Valuable Corporate Gift Ideas ($ 25 - $ 100)

For special events, it may be worth going the extra mile to get a special corporate business gift that people will add value to. One of the best gestures can be a limited number of prints. With a stamp of originality and aesthetic value, a beautiful and creative print will last a lifetime.

Those inside the Corporate Event Planner

When it comes to work ethic, there are an unlimited number of scenarios that the executive branch wants to train.

While it is not possible to cover all of this, Baldrige's book seeks to develop readers' skills to maneuver all sorts of possibilities. According to the corporate activity planner, there are several chapters devoted to the topic and resources:

§  Template suggestions for event invitations

§  Template suggestions for seating rules at the event

§  A look at the basics of a business meeting

§  Gift ideas from event planners to internal customers

The book discusses the most common business questions, including business entertainment, event invitations and protocols, and even the correct seating of guests.

How can corporate activity planners benefit?

At the very least, corporate event and meeting planners are expected to develop their business and social ethics skills to execute successful events. Good etiquette and behavior must be in the industry, whether it is how to behave in a work environment and how to position themselves to help customers interact effectively with their guests.

Of course, few people find the opportunity to formally form and label. Fortunately, Letitia Baldrige is one of the leading experts on the subject and has worked internationally in diplomacy and served as Jacqueline Kennedy's chief of staff at the White House. He prepares management training seminars on business behavior and writes several books on the subject.

Letitia Baldrige 's New Completed Guide to Executive Impacts is a book that should be on the shelf of every meeting and event planning.

Contains the type of information to be re-referenced.

Although the book focuses on execution, Baldrige responds to many of the basic and advanced elements of business ethics that event and meeting planners (and certainly every professional) must master. Examples:

    §  Know what you mean

§  Greetings in the business world

§  A look at table ethics

    §  The art of conversation

§  Label on the use of electronic devices

    §  Write business letters

    §  The importance of stationery

§  Dress for time (and care)

§  Suitable and inappropriate business gifts

    §  Toast at events

§  How to contact individuals and their addresses?

    §  Organizing and conducting meetings

    §  Business entertainment review

    §  Creating invitations

§  Review of the company's activities and parties

In addition to private events, there are also corporate events such as product launches, team building events, sales meetings, or year-end events. The list of opportunities for corporate event planning (as well as nonprofit foundations) available to an event planner is extensive.

10 Reasons Why Event Management May Be Right for You

    1.      Almost unlimited revenue potential - the types of events mentioned above are the tip of the iceberg. The list of potential customers available to you is huge. In terms of potential, you are limited only by your imagination.

    2.      Low Start-Up Cost - Among the many business start-up ideas, the event management model is hard to beat. You do not need an office and can hire contract staff as needed. Also, unlike many other businesses, you do not need to hold stocks of any kind. If you love your event management business, you can get the ball rolling for a very minimal cost.

    1.      Minimal risks - because you do not need to invest in many of the fixed costs (eg space and office equipment) associated with starting another business, your weak risk is kept to an absolute minimum.

    2.      Cash flow Positive - as a business owner, you have the luxury of deciding which payment terms will apply to your customers. However, in event management, 50 percent prepaid and fully paid balance, before the event, is very common. Because you do not have to wait 30-90 days for payment, you are not facing the cash flow problems that many new businesses face. Equally important, because it is paid before completion, you do not have to pursue money, as some business owners do.

    1.      Repeat Business - the holy grail of any business are returning customers from time to time. It is much easier to repeat business with existing customers than to constantly find new products. Corporations will always give you repeat business if you do well, and private individuals will recommend you to friends and family if they are happy with your work.

    2.      Accessibility - as event management has grown in popularity as a business start-up, the availability of online event management courses has spread. It's quite easy to do a Google search to find the one that works best for you.

    3.      Efficiency - a great benefit of event management is the ability to automate many of the required tasks using open source software. There are many excellent software packages available on the market today that will help you organize and grow your business efficiently.

    4.      Building a considerable fortune - an event management action, especially one with corporate repeat customers - is a valuable asset that you can sell or pass on to a family member.

    5.      Dynamic Industry - people become physically and emotionally involved in their events and actively seek out good event planners. The end result is a rewarding career when you are engaged and interacting with people.

    1.      Fun - running an event management business can be an optimistic and fun experience because the events you are orchestrating are happy occasions.

“What kind of work do you do?” Is a common question when meeting someone for the first time? If your response is, "I'm in the event management," you will most likely receive follow-up questions about what exactly that means.

You can, in fact, be asked if you are the party planner or meeting planner. In the event planning profession, job titles are as varied and varied as the services provided, and it is often difficult to describe and categorize one from another.

It can be challenging when preparing an event planning portfolio, looking for a job, or in working with a client who does not have the correct understanding of your job function and responsibilities.

    Event management versus event planning

So what exactly is event management and how does it differ from event planning?

    Event management versus event planning

While event management and event planning are very closely related, two very different functions. The main difference lies in these two words: management and planning. In very simple terms, event managers manage the event planner and event plan the event. However, event managers can also plan aspects of events and event planners may manage some components of the event planning process. Event managers and event planners work side by side, and their responsibilities may overlap.

To make matters even more confusing, individual event planners often provide event management services, and event managers can also offer event planning services.

If all of this has scratched your head, let's start by taking a closer look at event management.

    Event management includes project management

Event management involves creating and developing large-scale events that may include conferences, conventions, concerts, trade fairs, festivals, and celebrations.

Event management includes defining the target audience, conceptualizing the event, overall logistical planning of the event, and project management of the event as a whole - including managing the teams of people responsible for each function, budgeting, and overseeing the implementation of the event. Event managers also oversee the services of all external vendors and professionals, which includes event planners.

Defining the responsibilities of the event:

    Choose     places to book

    Coordination     of external suppliers

    Engaging     or entertaining speakers

    Arrange     transportation and parking

Obtaining     the necessary permits and appropriate insurance Responsibility for     compliance with health and safety standards

    Develop     contingency plans

Managing     crises and situations in the event

    Design     a security plan

    Event     monitoring

This     list is by no means complete. Depending on the scope of the event and the     other professionals hired, job responsibilities may vary.

The role of event management services

Event management firms are often hired to plan and execute large corporate meetings and special events. While weddings and concerts are common events for professional event management, sporting events, reunions, and large parties are also events that can benefit from event management.

Government agencies, nonprofits, associations, and companies take advantage of event management companies to coordinate important events and meetings. The juvenile management function can often be found within a public relations or public relations department or as part of an employee’s special assignment.

    Skills to succeed

As with most event planning jobs, event management requires excellent organizational skills to succeed. The ability to multitask and juggle multiple moving parts is essential, along with that top-notch organization comes the need for efficient time management skills. Being able to prioritize and stay on task is what leads to a successful event. Event management begins with the process of creating a vision for the event and then seeing it through implementation, which calls for creativity and flexibility.

Because project management is an essential component, and it involves not only managing jobs but teams of people, interpersonal skills are also important. Interacting with individuals at all levels of the organization is part of the job, and excellent communication skills and being comfortable and personal will go a long way in developing those relationships.
